Community Services Assistant

JOB SUMMARY:

Provides organizational support to community vocational services offered through Workforce Development; including reception duties, compilation and quality assurance of specified monthly invoicing, report compilation and recording, technical assistance to Workforce staff members and others using the online training program, College of Direct Supports; tracks training modules completed by Workforce staff and provides assistance by adding information to the client tracking database.

ESSENTIAL JOB FUNCTIONS:

 1.         Provides primary reception duties for the South Annex, greeting guests, answering the telephone and taking messages.

 2.         Collects and compiles information for invoicing specific funding sources, using computerized billing systems.  Prepares reports indicating amounts remaining in specific contracts after monthly billing.

 3.         Maintains a current list of staff names and telephone numbers for communication purposes.  

 4.         Interacts professionally with other agency personnel, service recipients, parents, employers and others while giving and receiving information regarding program participation to authorized persons.

 5.         Assists with the Community Services division client tracking database, to include information regarding clientele, as well as employers, referral sources, and other community partners.

 6.         Maintains website database and completes monthly billing for the Oklahoma Department of Rehabilitation Services, under the supervision of the Supported Employment Coordinator.

7.         Provides sub-administration of the College of Direct Supports, an online training system of training containing much of the required training for staff working with persons with disabilities in the State of Oklahoma.        

8.         Maintains training database for Workforce Development Department and maintains associated training files for departmental employees.

9.         Processes written material including letters, reports, memos, monthly progress reports, billing and meeting minutes.  Assures accuracy and appropriateness of content in all correspondence and written material.

10.       Maintains an accurate inventory of office supplies, collecting information regarding departmental needs.  Prepares request for needed supplies and submits to Workforce Development Assistant.

11.       Files pertinent information including billing, participant paperwork and monthly documentation in a timely manner, maintaining files in a neat and orderly fashion.

12.       Places expired files and documents in the proper orderly storage following organizational guidelines.

13.       Designs forms and reviews department’s paperwork requirements in order to increase efficiency and accuracy.

 14.       Supervises early-arriving Work Adjustment students until instructor arrives and class begins.

 15.       Reviews and is familiar with Company safety policies, programs and procedures.  Adheres to all safety rules, regulations and safety codes, and attend safety training sessions and safety meetings.  Maintains current certifications in First Aid and CPR and administer First Aid and CPR as required.

OTHER JOB REQUIREMENTS:

Must be at least 21 years old.

Must be eligible for a positive outcome on required State of Oklahoma criminal conviction background check.

Must maintain Goodwill’s Drug-Free Workplace.

EDUCATIONAL REQUIREMENTS:

High school graduate with secretarial training or demonstrated proficiency in word processing, spreadsheet and database, using a personal computer, with similar level of experience for at least one year,

PHYSICAL REQUIREMENTS:

Balancing, talking, hearing, stooping, reaching, handling, fingering, seeing and depth perception.

Lifting/Carrying/Pushing/Pulling:  Light Work:  Lifting 20 lbs maximum with frequent lifting and/or carrying objects weighing up to 10 lbs.  Even though the weight lifted may be only a negligible amount, a job is included in this category when it requires walking or standing to a significant degree, or when it involves sitting most of the time with a degree of pushing and pulling of arm and/or leg controls.
